Privacy policy

Effective 29 May 2026. Last updated 14 October 2026.

Who we are

This privacy policy applies to the Nile Automate website at https://nileautomate.au and to the services delivered under the Nile Automate brand. Nile Automate is a registered business name of Nile Capital Aus Pty Ltd (ABN 40 141 803 330), based in Melbourne, Australia. We work as an AI & automation lead for businesses: we map how your business runs, build AI systems over the tools you already own, and hand them over so your team runs them without us.

In this policy, "we", "us", and "our" mean Nile Capital Aus Pty Ltd operating as Nile Automate. "You" means anyone who visits the site, books a call or discovery, engages us for a build or follow-on work, downloads a free starter kit, subscribes to the newsletter, or contacts us.

About this policy

This policy explains what personal information we collect from you, how we use it, who we share it with, and the choices you have. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth) where they apply to us. Even where the Act does not technically apply to a small business like ours, we hold ourselves to those standards.

What we collect

Depending on how you interact with us, we may collect:

  • Identity and contact information: your name, business name, role, email address, phone number, and any other details you provide when you book a call, fill in a form, or email us.
  • Engagement information: the content of our calls and emails, what you tell us on the intro call and during discovery, and any documents, recordings, or workflow details you share with us during a paid engagement.
  • Website usage: anonymised counts of pages visited, the referring site, device type, and country (see Cookies and analytics below). We do not use third-party advertising cookies or trackers.

We do not knowingly collect sensitive information (health, racial or ethnic origin, religious or political views, sexual orientation, biometric or genetic data). If we ever need to, we will ask for your consent first.

How we collect it

We collect information directly from you when you:

  • book a free intro call through the booking page on our website, or a paid discovery or working session through our scheduling tool (currently cal.com);
  • email us or fill in a form on the website;
  • subscribe to the Field Notes newsletter or sign up for a free starter kit on the website;
  • engage us for discovery, a build or follow-on implementation work;
  • visit the website (anonymised analytics only).

We do not buy personal information from third parties.

How we use it

We use your information to:

  • schedule and deliver the intro call, discovery, build, or engagement you asked for;
  • prepare and send the discovery plan, quote, runbooks, or other deliverable;
  • communicate with you about the work and follow up afterwards;
  • improve our service, templates, and internal process over time;
  • meet our legal, tax, and record-keeping obligations.

We do not sell your information to anyone. We do not use it for advertising.

Who we share it with

Some information is processed by trusted third parties so we can do our work. The current list of these providers:

  • Stripe for processing payment: discovery is paid at booking, and builds are billed as a fixed quote or monthly. Stripe is US-based with Australian processing through Stripe Australia.
  • cal.com for scheduling paid discovery and working sessions. cal.com is US-based.
  • Resend for email sent from our website. When you submit the contact form, your name, email address and message pass through Resend in transit to our inbox. When you subscribe to the Field Notes newsletter or sign up for a free starter kit, we first send you an email asking you to confirm, and nothing is kept until you click the link in it. Once you confirm, Resend stores your email address, your subscription status and the list you are on, and sends you the welcome email, sign-in links for the subscriber area and the newsletter itself. Every newsletter has an unsubscribe link, and you can also unsubscribe from the subscriber area. Resend is US-based; our sending region is Tokyo.
  • Google Workspace (Google Calendar and Google Meet) for booking and delivering calls and remote sessions, and for operating the support inbox at [email protected]. When you book an intro call on our booking page, your name, email address and any note you add are stored as an event in our Google Calendar, and Google Calendar sends you the invitation with the Google Meet link, plus any updates if you reschedule or cancel. Google is US-based.
  • Anthropic (Claude) for AI-assisted work during discovery and builds and for our own internal workflows. We do not submit identifying detail beyond what the work requires. Anthropic’s commercial plans (Team, Enterprise, API) do not use customer inputs or outputs to train their models by default; their consumer plans (Free, Pro, Max) do unless the setting is turned off. Verified 14 July 2026.
  • DigitalOcean for hosting this website (their App Platform). DigitalOcean is US-based and serves the site through global infrastructure.
  • Cloudflare for our domain’s DNS, which directs your browser to our server; for cookieless website analytics (Cloudflare Web Analytics, described under Cookies below); and for Cloudflare Turnstile, a check on forms such as our booking and sign-up forms that tells real people from automated bots using technical signals from your browser. Cloudflare is US-based.
  • Email and document storage providers that we use to send and store deliverables.
  • Our professional advisers (accountant, legal, IT support) where strictly needed.

We do not share your information with any other third parties unless required by law or you have given us your consent.

Where we store it

Most of our records are stored in cloud services that operate from Australia, the United States, or both. Where information moves overseas, we take reasonable steps to make sure it is protected by similar standards to those in Australia.

Intro calls are shared between our team in Melbourne and a team member based in Uganda, depending on the time you choose; the booking page shows who your call is with before you confirm. If your call is with our Uganda-based team member, your booking details (name, email address and any note you add) are accessed from Uganda so they can prepare for and hold the call. Uganda’s privacy laws differ from Australia’s, so we take reasonable steps to make sure your information is handled in line with the Australian Privacy Principles.

How long we keep it

We keep client and prospect records for as long as we reasonably need them to deliver the work, meet our legal and tax obligations, and respond to any future questions about the engagement. After that, we delete or de-identify them.

Cookies and analytics

This site uses Cloudflare Web Analytics, a cookieless, privacy-respecting page counter. It records pages viewed, the referring site, country, device type and page-load speed, without cookies, without fingerprinting and without collecting personal data. Cloudflare keeps this data for about six months. We do not run third-party advertising cookies or marketing trackers on this site, and we never have.

The site sets one cookie, and only if you are a newsletter subscriber who signs in to the subscriber area. It is called na_member, it is a first-party cookie that is strictly necessary to keep you signed in, it holds your email address in a signed form that the browser's scripts cannot read, and it lasts 30 days or until you sign out. It is not used for tracking or advertising. Visitors who do not sign in get no cookies from us.

Your rights

You can ask us to:

  • tell you what personal information we hold about you;
  • correct anything that is out of date or wrong;
  • delete information we are no longer required to keep;
  • explain how a decision about you was made.

To exercise any of these, use the contact form at https://nileautomate.au/contact. We will respond within a reasonable time, usually within fourteen days.

Complaints

If you are unhappy with how we have handled your personal information, contact us first via the form at https://nileautomate.au/contact and mark your message as a complaint. We will look into it and reply.

If you are still unhappy, you can contact the Office of the Australian Information Commissioner at https://www.oaic.gov.au.

Security

We take reasonable steps to protect your information from misuse, loss, unauthorised access, and improper disclosure. No system is perfectly secure, but we use providers and practices that meet a sensible standard for a small Australian consulting practice.

Changes to this policy

We may update this policy from time to time. The current version always lives at https://nileautomate.au/privacy. Material changes will be noted at the top of the policy.
